TotalPay program for automation of personnel salary crediting process

We remind you that from July 1, 2012, Law of the Republic of Kazakhstan “On national registers of identification numbers” No.223 dated January 12, 2007, enters into force. Pursuant to this Law, the transfer will be made within the Republic of Kazakhstan to individual (IIN) and business identification numbers (BIN). Due to this fact, we kindly inform you that from the beginning of the next year BTA Bank will not receive payment orders and transfer applications without indication of IIN/BIN.

Within the frameworks of preparatory measures for transfer to IIN/BIN, we have modernized TotalPay banking software in the part of opportunity of generating payment documents of МТ102 format with new requisite.

What is TotalPay?

TotalPay is software elaborated especially for BTA Bank clients, who are serviced within the frameworks of salary project.

The program is intended to create register of company employees and automatically credit salaries, alimonies and business-trip expenses on IBAN accounts.

The program enables to form МТ102 format documents (SWIFT) and payment orders, both with and without electronic digital signature (EDS).

Working with TotalPay is available both for state-financed companies cooperating with Treasury of the Republic of Kazakhstan and commercial companies working directly with BTA Bank.

How does TotalPay help to automate crediting of salary?

More and more companies pay salary not through cash desk but by transferring noncash proceeds to the employees’ plastic cards.

This process usually provides for 2 steps. The first step is when the company transfers total salary amount to the special account assigned for distribution of salary among the employees. Such account shall be opened with the same bank, which services card accounts of company employees. Then the bank distributes the total salary amount among card accounts of the employees.

Usually realization of the first step does not involve any technical difficulties. For this, simple payment order is used, which can be composed automatically with the help of TotalPay program, and this payment order can be transferred to the bank via telecommunication channels through BTA-online system.

The second step can be more complicated for realization, if company with large number of employees provides the bank with documents for distribution of salary to the employees’ accounts in hard copy.

Here you can make use of TotalPay program, enabling you to provide the bank with data on distribution of salary among employees in soft form. This program was elaborated in compliance with all regulatory requirements. It operates the mechanism based on the standard of exchange of lists for opening card accounts of employees and lists for distribution of salary to such accounts.

How does TotalPay work?

Information on distribution of salary to card accounts of the employees is transferred from information system of the company to the bank in the form of automatically formed МТ102 format file.

With the help of TotalPay program the accountant of your company will be able to form the following documents:

• payment order in special format of BTA Bank for commercial companies
• accounts payable in the special format of Treasury of the Republic of Kazakhstan for state-financed companies
• SWIFT-files in МТ102 format with crediting amount for data import to BKS of BTA Bank JSC for commercial companies
• SWIFT-files in МТ102 format with use of EDS for data import to Treasury of the Republic of Kazakhstan for state-financed companies
• SWIFT-files in МТ100 format with fee of BTA Bank (with opportunity of using EDS);
• register of employees of your company for crediting the proceeds.

The program shall contain your company details (name, BIN, accounts numbers, full name of the accountant and manager etc), employees (full names, IIN, account numbers), then the program will maintain register of your company documents and provide all necessary manuals.

TotalPay provides for use of electronic digital signature (EDS) on the basis of closed key (algorithm GOST 23.310) in SWIFT-files of МТ102 and МТ100 formats. With the help of EDS managers and accountants of state-financed companies can be able to certify payment documents before passing them to the reception point of Treasury of the Republic of Kazakhstan.

TotalPay program is made for using in the operating systems of Windows, such as XP, Vista and 7 (only 32-bit versions).
